After the inspector leaves

How every report is audited before it is sent.

The inspector writes the report. Management audits the file. The owner gives final approval. Nothing leaves our servers until both reviews are complete, the inspection agreement is signed, and payment has been received. If the agreement is still unsigned, payment has not been received, or the permits we need are not available, release can be delayed — past the 24-hour guarantee, and past a same-day guarantee when one applies to that appointment. A summary can be given to the client and to their insurance or real estate agent by phone, in person, or email.

  1. 01

    Client and property

We confirm the client’s name, contact information, and the property address against the order and the inspection file. If they do not match, the report is held.

  2. 02

    Real estate parties

Before anything is sent, we verify the real estate information the client provided — the agent or agents who should receive the report. If that information was not provided, the report goes to the client only.

  3. 03

    Insurance parties

When insurance information is part of the file, we verify the insurance company and the insurance agent the same way, before release.

  4. 04

    Roof date

We check the last re-roof date against the permit on file. If we cannot locate a permit or another document that gives a clear installation or permit date, we state an approximate date and note that a confirming document was not available. We do not assign a date we cannot support.

  5. 05

    Facts and source documents

Findings, measurements, and written comments are fact-checked against the inspector’s notes and the documents in the file. The review is based on what is in the record, not on assumption.

  6. 06

    Photos matched to findings

Each photo is checked against the comment or finding it supports. A photo that does not match the written finding is corrected before the report can move on.

  7. 07

    Management audit

Management completes the review of the full file — parties, dates, findings, and photos — for our clients and for our insurance and real estate agents.

  8. 08

    Owner approval and release

The owner reviews the audited file and approves it for release. The report then goes to the client. When that information was provided before release, a copy also goes to the verified real estate agent and the verified homeowners insurance agent. After the report has gone out, the client may call and ask us to send it to any real estate or homeowners insurance professional they choose.

Client service

Call us. We’ll make the report count at the table.

We’re here to make your reports a powerful part of the purchase — and to arm your insurance or real estate agent. Have a special request or a special instruction? We’ll accommodate it. We’ll adapt the report to better suit you and your agent at the table, without changing the facts. Call, text, or email. A person answers.

Scheduling

Management books the appointment, confirms it, and sends the reminder. Same-day inspections and reports can be requested when you book, or on the day of the appointment, up until 12:00 noon. Sundays are available upon request.

Special instructions

Gate codes, lockbox notes, occupied homes, pets, a seller who needs a call first, or a room you want looked at with extra care — tell management before the inspector arrives. We put it on the file so it is not left in a text thread.

Custom report requests

We are happy to take custom requests. An extra copy for a second agent. A phone summary timed to a closing call. A note called out for underwriting. Tell us what would help, and we will say yes when we can do it without changing the facts in the report.

After the report is out

Questions do not stop at release. Management is still the number to call. If the client wants the report sent to any real estate professional they choose, they can ask. We send it.

Agents

Insurance and real estate agents can call management directly. We coordinate the appointment, confirm who receives the report, and stay available during agent hours so you are not waiting on a callback queue.

Travel

Northeast Florida is home. The Panhandle, Orlando and its surrounding areas, and parts of South Florida are also covered. Call management to confirm the address. Travel outside that area can be requested through this office.

Your opinion

What you say counts.

A comment. A suggestion. A better way to run the next inspection. Clients, insurance agents, real estate agents, and our own inspectors — if you’ve got it, we want it. It is sent directly to management. Leave your name if you’d like a reply. Leave it off if you’d rather not.
